Privacy Notice for Use of the Levare AI Website, Agentic Platform and Intelligent Agents

At LEVARE LIMITED (“LEVARE”), we undertake the responsibility to protect your privacy and your personal data.
This Privacy Notice explains what personal data we collect, how we use it, the reasons we may need to disclose your personal data to other parties and how we securely store your personal data.
For clarity, LEVARE is mainly a data controller with respect to the data we collect. However, data you submit, such as documentation for analysis remains yours, therefore we act as your processor.

We are based in the United Kingdom and provide a high-quality artificial intelligence agents service to help you improve the performance, execution and management of your business.

How the law protects you
Data protection laws (UK DPA 2018, UK GDPR) state that we are only able to process personal data if we have valid (lawful) reasons to do so. The reasons we process your personal data include, but are not limited to, your consent, performance of a contract or billing for a service, to contact you and analysis of your business needs (if you use one of our intelligent agents).
How do we collect personal data from you?
We receive information about you when you use our website, if you contact us by phone, email, live-chat, utilise our AI enabled smart agents, or otherwise in respect of any of our products and services.
Additionally, we also collect information from you when you sign up, enter a competition, promotion or survey or when you inform us of any other matter.
If you provide us with personal data about a third party, you warrant that you have obtained the express consent from the third party for the disclosure and use of their personal data. We will ask that any correspondence concerning a third party, that you also copy them in the email/messaging exchange so that they remain fully aware. We may ask you for their contact information in order to verify that they did consent and are okay with you proceeding on their behalf. Of course, legal representation, including power-of-attorney will always require specific documentation in advance.
What type of data do we collect from you?
The personal data that we may collect from you includes your name, address, email address, phone numbers, payment information and IP addresses. We may also keep details of your visits to our websites including, but not limited to traffic data, correspondence or chat data, location data, web-logs, device-specific information, server logs, device event information, location information and unique application numbers and other communication data. We also retain records of your queries and correspondence; in the event you contact us.
Please be aware that any content posted, uploaded or otherwise made available by users on our website and/or Intelligent Agents Platform (such as documents, graphics, or copied/pasted text), whether published content or not, is not subject to us being a Data Controller for that data. In submitting that information/documentation you assert and agree that we merely process such data on your behalf, subject to our standard Terms and Conditions and that you are responsible for any applicable legal requirements, including permissions or copyright, in respect of that content. We do not assume any ownership of the uploaded documentation.
How do we use your data?
We use information about you in the following ways:
To enter/service/process a contract with you:
- To process orders that you have submitted to us;
- To provide you with products and services;
- To comply with our contractual obligations we have with you;
- To help us identify you and any accounts you hold with us;
- To provide customer care, including responding to your requests if you contact us with a query;
- To administer accounts, process payments and keep track of billing and payments;
- To inform you of website, service or price changes.
To improve our products & services:
- To enable us to review, develop and improve the website and services;
For our marketing and/or internal operations:
- To review job applications for positions at our company;
- To provide you with information about products or services that you request from us or which we feel may interest you, where you have consented to be contacted for such purposes;
- To manage subscriptions, and whether they are individual, enterprise or parent levels.
Retention Periods
We will keep your personal data for the duration of the period you are a customer of LEVARE or a user of our services. We shall retain your data only for as long as necessary in accordance with applicable laws.
On the lapse or closure of an account, we may keep your data for up to 7 years after you have cancelled your services with us. We may not be able to delete your personal data before this time due to our legal and/or accountancy obligations. We may also keep data it for internal research or statistical purposes. Any anonymised data we create, such as aggregated statistics, is not subject to this privacy notice.
All data will be deleted after 7 years, unless directed by the regulator or other authorised national authorities.
Who has access to your personal data?
We do not and never shall sell your personal data to third parties for marketing or advertising purposes.
Your relationship with us is important to us.
We do work closely with a number of third parties, including those that provide the underlying intelligent agent knowledge Libraries and expert advice when using our intelligent agents and we may receive information from them about you. Any information they collect is subject to their respective privacy notice(s) and we strongly advise that you read those also.
We may pass your personal data to third parties directly working with us (for example Amazon Web Services where our data is hosted), for the provision of services on our behalf (for example processing your payment, where AI models are used as part of analysis of your data/information/documentation). However, we will only ever share information about you that is necessary to provide the service and where available, we have specific contracts in place which ensure your personal data is secure. In most cases, where you contract for additional services, such as direct consulting, on-premises workshops, ah-hoc consulting, these fall outside of our specific scope and you would contract for those services separately. We will pass on the relevant information to that provider, but contracting for any services is between yourself and them. We do not manage that relationship.
If LEVARE is targeted for acquisition, in most cases, we anticipate only aggregated (non-personalised) data being used, until a purchase completes. We may have to disclose personal data to the prospective buyer of our business, subject to both parties entering into appropriate legal confidentiality agreements. If we are acquired by a third party your data will be deemed an asset of the business, and the new owners would assume these responsibilities in the future.
Likewise, we may share your personal data if we are under a duty to disclose data to comply with any legal obligation or to protect the rights, property, or safety of LEVARE, our employees, our customers, or other people. This includes but is not limited to exchanging information with other companies and organisations for the purposes of fraud protection, credit risk reduction and dispute policies. However, we will always take steps with the aim of protecting your privacy rights.
Your Rights
You have the right to object to our use of your personal data, or ask us to delete, or stop, using it if there is no need for us to keep it. This is commonly known as your “right to be forgotten”. There are legal and accountancy reasons why we will need to keep some of your data, but please do inform us if you think we are retaining or using your personal data incorrectly.
Ethically, we will endeavour always to protect your rights and safeguard your information. We believe it is important, and necessary, to safeguard personal data, along with any other confidential information we receive.
Our Privacy Notice shall be made clear to you at the point of collection of your personal data. For example, when you sign up, a link is provided to read this notice, and the link is also provided on our website home page at www.levareai.com.
You have the right to ask us not to process your personal data for marketing purposes. We will NOT disclose your information to other third parties, such as Google, Facebook, Microsoft and others, unless you have given us your prior consent. You can change your marketing preferences at any time using the links within any emails we send you, or by contacting us at privacy@levareai.com.
Accessing and updating your data
You must maintain the accuracy of your information and ensure all your details, including but not limited to, name, address, title, phone number, e-mail address and payment details are kept up to date at all times. Where possible, you must do this by updating your personal details within the appropriate area of our websites. We may use other sources to verify your information, to prevent impersonation, fraud etc. and if part of an Enterprise agreement, confirm you are an active employee of that specific enterprise, and what access rights you are entitled to have.
You have the right to access the information we hold about you. Please email your requests to privacy@levareai.com. We will not re-supply any information that you have already provided to us or that we have provided to you (that you should always keep), such as emails, chat histories, submitted documents etc.
Processor Obligations
For any personal data we collect from you, and held within your account profile, we are the Data Controller. This means we take responsibility for control and protection of your data we acquire.
Sub-Processing of your data
The only times we supply any personal data is to provide a service, such as provision of an account, payments, or issue resolution. The only time we share your data with a Knowledge Library domain expert/IP holder is on your request to consult directly. We do not market or sell your personal data to any other third-party.
International Transfers
If Levare expands and has offices in other countries, we may transfer relevant data to those offices to enhance our customer experience and services availability. This may include helpdesk/call centre support, or IT providers. A core copy of your data will be maintained in the United Kingdom at all times, and any data transferred to Levare offices will be encrypted and only the minimum necessary.
In cases of fraud, platform misuse or other regulatory requests we may transfer relevant data to the law enforcement agencies of that country.
Audit Rights
No customer shall have the right of audit of any personal data, unless it is actively managed by an Enterprise Account or Partner Account, and only insofar as it pertains to their own employees under that account only. No Enterprise or Partner Account Manager shall have access to any Individual account information regardless of employment status.
Use of cookies
A cookie is a string of information that a website stores on a visitor’s computer, and that the visitor’s browser provides to the website each time the visitor returns. We use cookies across our websites to help identify and track visitors, their usage of our services, and their website preferences. Visitors who do not wish to have cookies placed on their computers should set their browsers to refuse cookies before using our websites, with the drawback that certain features may not function properly.
Links to other sites
LEVARE may provide links to third party sites. Since we do not control those websites, we encourage you to review the privacy policies of those sites. Any information that is supplied on these sites is external to us and is never within our control. We are not responsible for their privacy policies and practices.
Using of external Artificial Intelligence engines/systems
In all cases, any users of engines/systems require users to be identified. It is required that all users create their account with the AI engine (ChatGPT or others as needed), unless that is already contracted for via us. The usage, privacy notice, terms & conditions and retention policies will be specific to that company.
It does also mean that non-UK/non-EU AI engines may pass your entered data to non-UK/EU countries such as the USA. We will not pass any of your personal data to non-UK countries, but we do not control the AI companies in any way. In our models, our document libraries are not shared with the wider AI engines, but especially when using accounts directly opened with OpenAI, DeepSeek, META, Microsoft CoPilot and others, as a precaution, please restrict the entering of sensitive information or personal information when using their AI engine(s).
Security of your personal data
We will take reasonable technical and organisational precautions to prevent the loss, misuse, or alteration of your personal information.
All personal information provided to us will be stored on secure servers, which are both password and firewall protected, and all electronic transactions you make with us will be encrypted using TLS technology.
You are responsible for keeping your password and user details confidential, and we will ask for personal information (not your password) to identify you if we need to reset your password, reactivate your account, or recover any data previously archived, if it cannot be achieved automatically. Where we need to take manual steps, those procedures will not be automatic but will normally complete within 24 hours.
We will NEVER request for you to reveal your password to us, under any circumstances.
Data Breaches
In the event of a data breach, we shall ensure that our obligations under applicable data protection laws are complied with. Where possible, we will notify you directly of any breach using the contact information on file and what actions are being taken by us.
